COLOR MATCHING · SAMPLE APPROVAL

Pantone Color Matching With China Suppliers: 5 Sample Checks

Agree the full color reference, production material, viewing conditions and physical approval sample before accepting a color match from a China supplier.

Unbranded color swatches, coated paper, textured paper and a plastic sample beside a neutral viewing enclosure
Conceptual color references and material samples, not a customer approval sample, measured color standard or test result.

A Pantone reference gives your supplier a color target. Before approving production, connect that target to the actual material, finish, viewing conditions and a clearly identified physical sample. A code, a supplier photo or an unexplained color-difference number does not complete that approval.

Use this when color is a purchasing decision

The buyer or authorized designer defines the target; the supplier’s sample and quality teams document how the proposed product will be made and checked. Bring the full reference, intended use, actual material and trial sample. The result is an approval record with open conditions, not a universal color tolerance or a certification of the supplier. For the wider product brief, use the specification-sheet guide.

1. Specify the complete reference

Send the system name, full identifier including its suffix, and the edition or identity and condition of the physical reference. Say whether it is an exact brand target, a direction to explore or an option still awaiting approval. Ask the supplier to identify any missing information before making a matching claim.

In Pantone’s Graphics system, C and U describe appearance on coated and uncoated paper. The paper affects how the printed color looks. That distinction does not by itself define an acceptable match on molded plastic, fabric or a metal coating. When the production material differs, agree what an acceptable actual-material sample will be.

2. Separate reference material from acceptance evidence

What you haveWhat to verifyWhat it does not establish
Full color codeSystem, suffix, reference version and relevance to the materialThe finished product’s accepted appearance
Screen photographSample identity, capture and display conditions, physical comparisonA physical match because screens look similar
Production-material sampleMaterial, process, finish, version and authorized approval scopeBatch acceptance from one approved sample
Instrument readingMeasurement conditions, method, location and agreed acceptance ruleBatch conformity from a number with unknown conditions

This is a coordination checklist, not a test report. Ask the quality team to identify relevant changes in substrate, base color, coating or surface finish. Check whether the reference has faded or been damaged. Do not infer material identity or an objective tolerance from the illustration on this page.

3. Agree a viewing process both parties can repeat

X-Rite explains that lighting affects visual evaluation. Two samples can look alike under one light and different under another, a phenomenon called metamerism. Natural daylight also varies. Agree how the reference and sample will be viewed together, including the relevant light sources and surrounding conditions.

Let the responsible quality teams select conditions suited to the product and intended environment. This guide does not prescribe one lamp or instrument setup for every industry. If the arrangement is unresolved, mark it as open. “White light” and a phone image are not a reproducible approval method on their own.

4. Identify exactly what you approve

Before saying yes, request the sample identifier, production material, process, finish, product revision and preparation date. The decision should state approved, revise or hold; who authorized it; and whether the decision covers color only or other appearance features too. Retain identifiable physical references with agreed custody.

Illustrative example: a buyer sends a complete paper-color reference for a matte plastic part. A useful response is: “We have recorded the target reference. Please review the matte-plastic trial sample under the agreed conditions; production will follow the confirmed revision after approval.” It would be premature to promise an identical finished color merely because the code arrived. See pre-production sample approval for the wider approval package.

5. Carry the approval into batch checks

Keep product revision, full target reference, material/process, physical sample ID and custodian, viewing or measurement conditions, acceptance rule, approver, scope and unresolved items together. Assign the next action to the buyer, supplier or quality provider who can actually decide it. Do not invent a generic numerical tolerance when none was agreed.

Use the agreed production inspection plan to compare batch output with the retained reference. Record the batch and outcome. Review the approval if material, process, finish, viewing conditions or reference condition changes; do not silently carry it across revisions. The supplier change-control checklist covers that wider handover. Neither an approved sample nor sampling inspection proves that every item is identical.

Buyers can use this record to distinguish a received color target from an authorized production decision, and give the supplier’s quality team concrete conditions to resolve.

Frequently asked questions

Can I omit C or U from a Pantone Graphics reference?

Keep the complete reference. In the Graphics paper system these suffixes distinguish coated and uncoated paper appearance. A paper reference alone does not set the acceptance standard for plastic, fabric or another material.

Is a supplier photo enough to approve the color?

Use photos to identify samples and discuss differences. For a physical color decision, agree an actual-material sample and viewing process that both parties can reproduce. Do not treat an uncontrolled screen comparison as physical approval.

Does a color instrument reading replace sample approval?

It can add evidence when measurement conditions, method and acceptance rules are agreed. Also review the relevant finished appearance and lighting. A number without its conditions does not establish batch acceptance.
