A holiday notice from your Chinese supplier tells you when someone expects to be away. It does not tell you who will answer a document query, whether quality staff will be available, or who can approve a change while the order is still open. Ask for one handover record that separates confirmed evidence from pending decisions, then agree how updates will reach you.
What to obtain before the main contact goes offline
For each open order, obtain its evidenced status, next action, deadline with a time zone, named owner and backup, approval boundaries, and first restart review. A holiday date is a planning input. It is not a factory dispatch commitment or a carrier cutoff.
1. Ask for actual operating dates, not just the national calendar
China’s published 2026 National Day break runs from October 1 to 7, with October 10 designated a working day. The notice was published in November 2025; it is not a new September announcement. These dates do not establish the operating schedule of your supplier’s particular line or warehouse.
Ask when production, warehouse receipt, inspection support and document processing will stop and restart. Check the forwarder separately. Obtain dates and local time zones, the specific service covered, and the person who confirmed each answer. A general promise to resume after the holiday leaves an important gap if the order needs an inspection or a corrected document first.
2. Map each open order to its next unfinished action
For the orders you are still expecting, request the current milestone, evidence file or reference, and the next decision. Separate production completion, inspection release, packaging approval and carrier acceptance. Do not promote an estimated completion into a confirmed shipment simply because the supplier expects to finish before leave.
Use the production-progress guide to ask for evidence at the current stage. Record the date promised to your receiving team separately from the latest supplier estimate, so the backup person can see which commitment needs attention.
3. Put individual cutoffs beside their source and time zone
An inspection appointment, document submission, warehouse receipt and buyer decision can all have different deadlines. Ask which will fall while the main contact is unavailable. Record the exact task, date, local time zone, confirming party and last check. Neither a vessel date nor a national holiday date proves the cutoff for another service.
A recent Maersk notice illustrates the distinction: Ocean invoices and credit notes were temporarily unavailable during a stated September 25–26 maintenance window while shipment operations continued. That window has ended by this guide’s check date. The example is a reason to verify document availability separately; it is not a claim that your current shipment remains affected. Check the actual documents needed for your order.
4. Agree the approved version and retain unresolved requests
Ask the supplier to identify the executable purchase order, specification, packaging and document versions in one shared location. List unresolved changes separately, with the requester, affected work and approving person. A version freeze is a clear baseline, not a ban on later authorized corrections: subsequent revisions still need a traceable decision and notification.
If payment instructions change, use the independent bank-change verification checklist. A holiday or an absent approver is not evidence that an unverified instruction is acceptable. This handover record does not replace contractual, banking or customs approvals.
5. Verify the backup contact’s access and authority
Ask both the owner and backup to acknowledge the handover. Confirm that the backup can find the files and answer during a stated time zone or contact window. Separate status updates from authority to change price, delivery commitments, payment instructions and product requirements.
Agree escalation triggers that someone can recognize: a confirmed receipt cutoff is missed, inspection evidence conflicts with the approved specification, or a new buyer requirement arrives. Record who must decide and what remains pending if that person cannot be reached. A person answering the phone is not automatically authorized to change your order.
6. Confirm the order impact and the next update
Request a short order-specific note rather than a company-wide closure message: current stage and evidence; supplier services confirmed; forwarder confirmation still outstanding; backup contact and time zone; next update time. Reply with any decision required from your side and a named person who can give it.
When an agreed delivery plan needs to change, use the order-delay communication process to evaluate and confirm the change separately. Receipt of a holiday notice does not prove that you accepted a revised delivery commitment.
7. Review changes at restart before closing the handover
Agree the first restart review and its owner. Compare new messages, document corrections, carrier confirmations and buyer approvals against the pre-holiday baseline. Obtain a new confirmed deadline for anything missed. Close the handover only after the remaining actions have accountable owners and the necessary decisions are recorded.
A concise request you can send
Please confirm the following for order [reference] before [time and time zone]: evidenced current stage; next action and cutoff source; approved file versions and access location; primary and backup contact; which decisions require approval; next update; and first restart review. Please mark anything not yet confirmed as pending.
Keep the reply with the order, not only in a private chat. The objective is a record another person can use without guessing. This is CZ Overseas process guidance, not an account of a real customer order or a guarantee against delay.
Sources and verification
Checked September 27, 2026. The State Council’s 2026 holiday notice supports the calendar dates. The Maersk September 23 maintenance advisory supports the example of a completed document-service interruption. The handover sequence is our operational recommendation, not a uniform official requirement. No real buyer, supplier, order or commercial result is presented.
Frequently asked questions
Does the official holiday calendar tell me when my factory will ship again?
No. Confirm the actual production, warehouse, quality and document schedules, then verify the forwarder’s separate cutoffs and availability.
Can a backup contact approve changes to my order?
Only within confirmed authority. Record who may update status and who must approve changes to price, delivery, payment instructions or product specifications.
Should an order that has left the factory stay on the handover list?
Yes, if document corrections, buyer decisions, receipt or other actions remain open. Factory dispatch alone does not close every order obligation.
